About the role
Working closely with the Executive Assistant, you’ll play a key part in keeping the Executive Office running smoothly. Your days will be a mix of coordination, problem‑solving and hands‑on support across travel, events, communications and general office operations. It’s a role for someone who enjoys being the go‑to person and can confidently manage competing priorities.
Key responsibilities
- Provide high‑level administrative support to the Executive Assistant and senior leaders
- Coordinate travel for executives, including flights, accommodation and ground transport
- Assist with planning and delivering corporate events, conferences and site visits
- Maintain corporate registers and manage organisational memberships
- Support office operations, including facilities coordination, vendor liaison and desk allocations
- Oversee car park allocations and provide coverage during staff leave periods
- Source and order branded merchandise and ensure consistent application of corporate style guidelines
- Prepare, format and proof documents, presentations and internal communications
- Use tools such as Word, PowerPoint, Canva and Adobe to produce professional materials
- Maintain intranet content and support distribution of corporate announcements (e.g. ASX releases, Mailchimp)
- Demonstrated experience in a similar administrative role
- Strong organisational skills with the ability to juggle multiple deadlines
- Excellent communication skills and the confidence to work with stakeholders at all levels
- High attention to detail, particularly in formatting, proofreading and document design
- Proactive, adaptable and comfortable working both independently and as part of a team
- Advanced Microsoft Office skills and experience with digital collaboration tools (Teams, SharePoint)
- Ability to handle confidential information with professionalism and integrity
- Strong problem‑solving skills and a calm, solutions‑focused approach
- Experience with Pronto
- Exposure to project coordination
- Experience supporting remote or site‑based teams within the resources sector
