Our client, a leading specialist dental practice with three purpose-built locations, is seeking an experienced and motivated Front Office Manager
to oversee and elevate operations and the patient experience across its multi-site operations. This is an exciting opportunity for a confident administrator to step into a key leadership role and work alongside a supportive part-time Practice Manager to ensure smooth, efficient, and patient-focused front office operations. This is a permanent, fulltime role.
About the Role
The successful candidate will be responsible for leading the front desk team, coordinating day-to-day workflows, and ensuring every patient interaction reflects the high clinical standards of the practice. This role plays a vital part in maintaining seamless communication, staff performance, and exceptional service delivery across all three locations.
Key Responsibilities
- Oversee front office operations and admin workflows across three specialist dental practices
- Lead, mentor, and coordinate the front desk team to deliver premium patient care
- Manage scheduling, appointment coordination, and front desk communications
- Handle patient feedback and complaints with professionalism and empathy
- Coordinate team rostering, training, and performance support
- Oversee financial transactions, including HICAPS, EFTPOS, billing, and reconciliation
- Ensure effective use of dental practice software and staff proficiency
- Maintain clear communication between admin, clinical staff, and leadership
- Liaise with vendors, suppliers, and service providers as required
- Support compliance with regulatory standards and internal policies
About You
The ideal candidate is confident, detail-oriented, and passionate about team leadership and exceptional patient care. You will be calm under pressure and capable of managing multiple priorities while creating a warm, welcoming front office environment.
Key requirements include:
- 3+ years of experience in dental practice administration/management (specialist experience is a plus)
- Previous leadership or coordination experience in a healthcare or dental setting
- Strong organisational and multitasking abilities
- Excellent communication and interpersonal skills
- Proficiency with dental software systems and HICAPS operations
