Love being three steps ahead? This could be your next great move. You’re the person who can turn a chaotic calendar into a perfectly orchestrated day. The one who spots the clash before it happens, knows what the CEO needs before they ask, and quietly makes a hundred moving parts look effortless.
HIF is looking for an exceptional Executive Assistant to partner with their CEO — someone who brings structure, initiative and a little magic to the everyday, and who takes real pride in keeping a busy executive one step ahead.
Based in HIF’s Perth CBD head office, this is a high-trust, high-impact role where no two days look quite the same. You’ll be at the centre of the action, working closely with the CEO, the Board, the executive leadership team and people across the business.
Your world will include:
- Owning the day: Managing a complex diary and inbox, prioritising competing demands and keeping the CEO focused on what matters most.
- Being the ultimate prep person: Making sure every meeting is backed by the right papers, research, briefings and preparation.
- Keeping things moving: Maintaining action lists, following up commitments and making sure nothing important falls through the cracks.
- Working at Board level: Partnering with the Company Secretary on Board and committee preparation, papers and meeting logistics.
- Making the logistics look easy: Coordinating executive meetings, travel, events and all the details that keep a leadership team running smoothly.
- Being the go-to person: Drafting correspondence, managing stakeholder access and helping the CEO present as approachable, professional and well prepared.
- Improving the way we work: Finding smarter ways to organise information, streamline processes and make the most of digital tools, including AI.
You’ll bring:
- Proven experience supporting a CEO or senior executive, ideally in a complex, Board-governed environment.
- Exceptional diary, inbox and stakeholder management skills.
- Experience coordinating Board or committee meetings, with an eye for detail and a strong sense of confidentiality.
- Advanced Microsoft 365 skills across Outlook, Teams, Word, Excel, PowerPoint and SharePoint.
- Confidence using at least two of Microsoft Copilot, ChatGPT and Claude in line with workplace policies.
- A proactive mindset — you anticipate, prioritise and take ownership rather than waiting to be asked.
- Sound judgement, discretion and the confidence to know what needs attention now, what can wait and what needs to be escalated.
- A warm, professional and collaborative style, with the resilience to stay calm when the plans change (because they will!).
