We are seeking an experienced, highly organised and proactive Executive Assistant to the CEO to join an established and respected aged care and home care provider based in Beaconsfield.
Working closely with the CEO, Company Secretary, Management Team and Board, you will be a key link between the CEO and internal and external stakeholders.
Your responsibilities will include:
- Managing the CEO’s diary, appointments and competing priorities.
- Acting as a professional and trusted gatekeeper for the CEO.
- Managing and prioritising correspondence, emails and phone calls.
- Coordinating meetings, agendas, presentations, minutes and action items.
- Preparing reports, briefs, presentations, correspondence and executive documentation.
- Working closely with the Company Secretary to support Board and governance requirements.
- Coordinating communication between the CEO, Management Team, Board and key stakeholders.
- Building strong working relationships across the organisation and with external stakeholders.
- Supporting strategic and organisational projects and monitoring key deliverables.
- Following up actions and ensuring important commitments don't fall through the cracks.
- Assisting with quality, compliance and accreditation activities.
- Supporting the preparation of funding submissions, reports and organisational documentation.
- Providing secretariat support to committees, working groups and organisational meetings.
- Coordinating executive events and functions.
- Managing sensitive and confidential information with absolute discretion.
- Providing general executive and operational support as required.
- 3–5+ years’ experience supporting a CEO, Executive, Managing Director or senior leadership position
- Highly organised, structured and exceptionally reliable.
- Proactive — you see what needs to happen and make it happen.
- Confident dealing with senior executives, Board members and stakeholders.
- A strong communicator with excellent written and verbal skills.
- Discreet and trustworthy when handling sensitive and confidential information.
- Comfortable being the gatekeeper while remaining approachable and professional.
- Able to manage competing priorities without losing sight of the detail.
- Confident working independently and using sound judgement.
- Comfortable working alongside a Company Secretary and within a governance-focused environment.
- Calm under pressure and able to adapt quickly when priorities change.
- Professional, personable and approachable, with a genuine ability to build strong relationships.
The role will suit someone who enjoys being trusted with responsibility and takes pride in being the person who keeps everything organised, connected and moving forward. Predominantly office-based with some flexibility around start and finish times.
